The challenge
The specimens are irreplaceable. There is no second copy, and the cost of a tracking error is absolute. Yet inventory lived in manual logs, consent on paper, and billing in separate systems, every one of them an audit risk.
Clinic staff had no real-time view of specimen status or storage conditions, and arranging a transport meant phone calls and manual coordination. The network needed one system of record, built to the standard the stakes demand.
Our approach
We built CF1 from first principles: specimen inventory traceable to the individual vial and straw, with role-specific dashboards for embryologists, administrators and directors, and GPS-tracked transport with a complete chain of custody.
A patient portal handles onboarding, plan selection, e-consent and payments, while cycle-based and specimen-level billing renews automatically, replacing the fragmented account management that was leaking revenue.
The architecture is HIPAA-compliant and multi-tenant, with role-based access, full audit trails and EMR-ready integration. React and TypeScript on a .NET core, running on Azure.
Outcomes
- Locating a specimen or scheduling a transfer takes seconds instead of phone calls
- Automated billing lifted monthly collections by roughly 20%
- Zero data breaches since launch, with consent and chain of custody fully automated
